If an office has to be cleaned while it is still in use, the first question is which room empties and when. If the accounting desk is still covered at five, that area may simply stay out of scope for the day; if the meeting room is completely free for an hour at lunch, that is the most productive place to start. Releasing areas in turn
Closing a whole floor at once is rarely possible in a working office. The practical approach is to split the space into three or four zones and hand each one over within a set window: common area and kitchen, toilets, open office, closed rooms. For each zone it must be clear beforehand who holds the key or card and that nobody will remain inside. If a floor will stay wet, the question of whether people must walk through changes the plan; if passage is unavoidable, floors go last.
A second distinction is whether desktops are included. "Desks included" means wiping a desk that has been cleared. If papers, folders and personal items are still there, that surface is skipped. Asking staff to clear their desks before leaving therefore widens the scope directly.
Limits around documents and electronics
A sensible boundary looks like this: papers are not moved, sorted or discarded, and closed filing cabinets stay closed. Document destruction and paperwork filing are not cleaning services. On the electronics side there is no repair, disassembly or cable tidying. For screens, keyboards, printers and phone systems two options are discussed: devices are not touched at all, or only the outer casing is wiped with a dry or barely damp cloth. Even the second option is suitable only if the manufacturer's care instructions are known; if they are not, the device stays out of scope. Server rooms, safes and locked areas are decided separately.
Balcony, interior glass and floor order
These three jobs dirty one another. The logic is dirty to clean and top to bottom: sweep and wash the balcony or terrace first, then do interior glass and frames with the balcony door shut, and leave floors last. If wash water can seep in past the threshold, a towel is laid at the sill or the interior floor is left until the balcony dries. Skirting boards under windows are wiped after the glass, because water marks run down. On a windy or dusty day a freshly cleaned outer face can streak quickly; limiting work to the inner face is then the more consistent choice. Risky façade work and work at height are not included.
Checks before and after
- Before: which zone is free at which hour, whether desks will be cleared, which devices are off limits.
- Before: water and power access, waste route, use of lift or stairs.
- After: inside of window frames, skirting, balcony drain, and whether floors are dry.
- After: walk through the untouched areas together to confirm they were left as agreed.
What if some rooms never empty before closing time?
Those rooms are taken out of that day's scope and scheduled separately. Writing the scope down first avoids a later argument about what was missed.
Why does a mark on the glass not come off?
